Full-Charge Bookkeeper

REPORTS TO: Deputy Director

POSITION SUMMARY:

The Full-Charge Bookkeeper is an essential team member lending support to the organization's Finance Manager and the Deputy Director. The Bookkeeper assists in managing our day-to-day accounting and finance necessities. Confidentiality, excellent organizational skills, and accuracy are important qualifications for this position, as well as good customer relations and the ability to communicate clearly. The ideal candidate for this position is a skilled multi-tasker, who is reliable and committed to consistently meeting deadlines. The Sacramento Tree Foundation has a dynamic portfolio which includes grant, fee-for-service, philanthropic, and product sales revenue. The Full-Charge Bookkeeper plays a significant role in ensuring timely, accurate, and robust reporting and communications.

PRINCIPLE DUTIES

Payroll

1. Process payroll bi-weekly using T-sheets and ADP systems

2. Maintain accurate ledgers related to ETO, PSL, and employee benefits

3. Process payments for TIAA CREF accounts

4. Run job costing reports from T-sheets

Banking

1. Manage all banking requirements including deposits, transfers, and positive pay for multiple accounts

2. Reconcile petty cash

3. Process incoming mail

Accounts Payable

1. Review and process all invoices, credit card charges and employee expense reimbursement requests

2. Process payment checks

3. Maintain updated W-9 file and process all 1099s at the end of the calendar year

4. Input credit card transactions

5. Manage vendor relations and files

Inventory

1. Input WIP processing time into spreadsheets

2. Allocate labor & material charges to inventory based on processing time

3. Receive finished goods inventory to POS

4. Maintain integrity of inventory system under oversight of outside CPA

5. Reconcile periodic inventory counts to POS & GL

Month End Close

1. Balance and maintain accurate ledgers and credit card accounts

2. Reconcile donation income with Salesforce reports

3. Assist Finance Manager with creation of journal entries

4. Input journal entries in QuickBooks in a timely manner

5. Allocate shared expenses amongst various accounts based on allocation worksheets provided

6. Provide program managers with budget to actual reports

7. Prepare grant billing reports from QuickBooks

8. Create invoices based on time and expenses charged

9. Prepare supporting documentation, such as T-sheets reports and invoice copies, for billings

Administrative

1. Support the audit process as needed

2. Create QuickBooks reports, as requested

3. Maintain all A/P, A/R, Payroll and Vendor files

4. Manage service of maintenance vendors (photocopier, postage machine, HVAC maintenance, office cleaning, general office repairs)

5. Oversee new employee HR orientation and departing employee HR tasks, including employee benefit forms

6. Maintain employee files

7. Other duties as assigned

JOB REQUIREMENTS

EDUCATION: BA/BS Degree in Accounting, Business or related field. Degree preferred but experience can be used in place of a degree.

EXPERIENCE : 3+ years of experience in bookkeeping and administrative positions

SKILLS

· Strong computer skills in Microsoft Office and QuickBooks. Experience with Salesforce helpful

· Strong understanding of bookkeeping techniques

· Strong attention to detail

· Ability to effectively organize and complete multiple activities, priorities, and assignments in a timely manner

· Ability to demonstrate effective communication, cooperation, and creativity when problem solving, resolving conflict, and managing change

· Ability to provide outstanding customer service to all members, employees, vendors, and clients

· Ability to preserve confidential information with appropriate discretion

· Positive attitude, professional manner and appearance in all situations

SUPERVISORY RESPONSIBILITIES

No formal supervisory role

WORKING CONDITIONS

This is an at-will, full time, and non-exempt position

The position is located at the Sacramento office of the Sacramento Tree Foundation

Ability to lift 30 pounds

In-office work is required for this position with extended periods of sitting

COMPENSATION
